How do I backup my iPad and what happens with my data if I lose my device ?

If you have selected "Backup to the iCloud" in iTunes, iCloud will automatically back up your Property Inspection BOSS data (as well as all your other apps data and photos etc) daily over Wi-Fi when your device is connected to a power source. Once you plug it in, everything is backed up quickly and efficiently.

How do I access or backup my reports and images?

1. If using iTunes v12 or later

  • Launch iTunes.
  • Plug your device via USB.
  • Tap on the iPad icon in the top left hand corner of iTunes, at the end of the music, video icons etc (See Diagram below : iTunes v12 File Sharing - Select iPad).
  • Then choose the Apps tab (on the left of the screen).
  • Scroll down to File Sharing section. (See Diagram below : iTunes v12 File Sharing - File Sharing)
  • Select PIB.
  • Select your relevant directories and click on the “Save To…” button or directly drag & drop documents on the list to your PC/Mac. The reports are structured according to Inspection Date/Address for each Inspector.

NOTE : It is not possible to copy folders and multiple selections from the computer to the device using this method for use in PIB

2. If using iTunes v10 or earlier:

  • Launch iTunes.

Is there a limit on the number of photos I can take ?

In the Premium version, you can certainly take more photos. If you do exceed that limit you will need to be in WIFI range (This is to limit the bandwidth used over 3G).

You can access all high-res versions of your photos using the backup mechanism listed above, or if you have alternatively selected "Copy Photos to Camera Roll", in Application Settings, they will be copied there.

Can I use AirPrint and which printers are supported ?

Yes! When you view any of your final Property reports (from the Document History button) it can now be printed to any AirPrint supported printer (you will notice the small print icon in the top right corner). Find out if your printer is supported from Apple's full list.

How do I send my reports back to the office ?

Property reports can be sent back to the office in 2 ways :

  • Via the Submit Inspection popup.

    Submit Inspection
    This will generate your final report and send it to the email address of the Inspector specified for that Inspection.
  • When you view any of your final Property reports (from the Document History button) it can be emailed to any of your Address Book Contacts or enter the email address directly (you will notice the small email icon in the top right corner). Note that this requires your mail account to be configured on your iPad itself!

How do I upgrade to the latest iOS?

Property Inspection BOSS is only compatible with iOS 6.1 or greater. If you haven't already done so, make sure you upgrade to the latest iOS by simply plugging your iPad into iTunes on your PC or Mac and update to the latest. (Please ensure a backup of your device, which includes Property Inspection BOSS, is also performed at this time). Please refer to Apple Support for more information on upgrading. What happens if I need to restart Property Inspection BOSS or close down other apps?

If you need to Restart Property Inspection BOSS, for whatever reason, simply follow these steps:

  • Click the Home button on the iPad device once, so that all your app icons are displayed and it closes the Property Inspection BOSS app itself
  • Click the Home button twice so that it reveals an additional bottom row of icons (These are your most recent accessed apps)
  • Click and hold down the Property Inspection BOSS icon which should reveal a small red bar in the top left hand corner. Click it once.
  • Click the Home button once again (to hide the row of icons just displayed)
  • That's it! Start the Property Inspection BOSS app again!

Or

If you need to close down other apps to help Property Inspection BOSS run more smoothly, for whatever reason, simply follow these steps:

  • Click the Home button on the iPad device once, so that all your app icons are displayed and it closes the Property Inspection BOSS app itself
  • Click the Home button twice so that it reveals an additional bottom row of icons (These are your most recent accessed apps and are possibly still running)
  • Click and hold down on any of app icons which should reveal a small red bar in the top left hand corner.
  • Click on those icons you are no longer using. This will close the app and remove it from the list.
  • Click the Home button once again (to hide the row of icons just displayed)
  • That's it! Start the Property Inspection BOSS app again

I need to reuse my inspection text between Inspection Areas?

Copying text is as easy as double tapping a word. But when you want to copy a whole paragraph, like for an inspection area text, you have to stretch those annoying little blue knobs...or do you?

Tap any editable text four times. You'll highlight the whole paragraph and select Copy. Then for each subsequent inspection area you'd like to reuse that same text just Paste the text as normal.

What do the Property Inspection BOSS Settings do?

Accessible via Settings > Property Inspection BOSS Admin, these will make life easier when performing your inspections. These are global settings so all you need to do is set once and they will be available for all Inspections! Also check out the default options available for your new Inspections.

Use Checklist Text When editing notes for an Inspection Area, you will notice small check boxes above the keyboard. By toggling this setting and tapping on any of the sub inspections area buttons (on the row of green tick boxes above the keyboard), the text from that button will be automatically inserted into the text for that inspection.
Very handy for when you need to enter sub inspection areas titles in point form!
For example tapping the Walls button in the Garage area will automatically insert 'Walls' text. When turned off it can still be used as a visual checklist of which areas within an Inspection Area have been checked!
Inspection Type Sets the default Inspection Type for all new Inspections. Inspection Report (Also known as Routine/Peroidic Inspection Report) or Condition Report (Also known as an Entry/Ingoing or Exit/Outgoing Report)
Enforce Area Validation When submitting a report, Property Inspection BOSS will now enforce Area Validation by prompting you if there are any notes for Areas or Sub Inspection Areas not filled in.
Photo Quality This configures the default photo quality. With higher quality photos, generating reports may take longer (especially with a large set of inspection photos) and photos will take up more disk space. Generating reports over a WIFI connection is strongly recommended. For faster generation of reports, 'Preview Inspection' will use lower quality photos.
Auto Add Sub Areas By toggling this setting Sub-Inspection Areas will now be automatically added to your Inspection Areas. No more excessive tapping! Simply delete what you do not need! For example when adding a Lounge it will auto add Sub Inspection Areas; Door,Floor etc. This dramatically reduces your setup time!
Use Quick Check By toggling this setting when performing a Condition report, you will have the option of quickly toggling each Sub-Inspection Area as Clean or Not Clean, Undamaged or Damaged and Working or Not Working. To ensure your final report includes these ticks/crosses please select the correct template in Settings->Inspectors, i.e. 'PCR Template-WithQuickCheck.doc'. Valid for all Australian state PCR templates including QLD/NSW/VIC/SA/WA.
Allow Photo Library When adding photos you will be asked if you want to choose from your Photo Library or Take a Photo. To take photos faster turn this setting OFF.
GPS Reporting For selected reports, Property Inspection BOSS can now include the GPS location of where the Inspection was performed. Please contact support before turning this feature ON.
Password Protect Settings CAUTION: When turned ON, the Property Inspection BOSS Admin Settings are locked and are then only available to the Administrator of the Account. Once you navigate out of Settings, you will need to have the admin password available to navigate back. Please contact support before turning this feature ON.
Report Format This configures the default report format when using Submit Inspection, i.e. PDF Report, MS Word Report or both formats.

Include Sub Inspection Areas By toggling this setting it includes Sub Inspection Areas for Routine/Periodic Inspections.
PCR/Ingoing/Outgoing Settings

Prompt for Entry/Exit When submitting a Condition Report, Property Inspection BOSS will now prompt you to select the respective Entry Inspection. The two inspections will be integrated to create the Exit Inspection report. For Australian customers, NSW and SA templates are currently supported.

Repeat Inspection Area Text When performing a 'Repeat Inspection', with this setting ON, the old Inspection Area notes will be included on the New Inspection. When turned OFF, they will be excluded.

How can I reduce the amount of data entry for new Inspections?

  • For new Inspection details, if you are the only Inspector setup in Property Inspection BOSS, then your name should already be pre-populated in the Inspection data entry screens. When Property Inspection BOSS detects multiple Inspectors, it uses the first Inspector listed, in Settings, as the default for new Inspections. Reorder (Use Edit button and rearrange) the list of Inspectors in Settings -> Property Inspection BOSS Admin -> Inspectors to suit.
  • In Settings -> Property Inspection BOSS Admin -> Company Settings, if you select which State you are located in then this will also be pre-populated in the Inspection data entry screens.
  • A new setting Inspection Type is now available. Defaults to Property Inspection Report. This is used for new Inspections for the Inspection Type.
  • Property Profiles now make it even simpler to fast track your inspections

Can I upgrade from a iPadX to iPadY and still keep all my data?

Yes you can!

First thing to do is backup your current iPadX before you sync your new one. Also ensure that both the iPadX and iPadY both contain the same iOS.

When you connect the new iPadY to your computer and launch iTunes, right click on your iPad name under Devices on the left side of the iTunes window and you can select Restore from Backup. If you restore from the backup of your original iPad you will transfer all of that content onto your new iPad. For additional information find out more at Apple Support

I have submitted my Inspection but have yet to receive it via email. What's happened?

First check that your email address is correct. This can be verified in Settings -> Property Inspection BOSS Admin -> Inspectors. Also check that the Inspector for the respective Inspection matches the details just verified.

Secondly, check your SPAM or JUNK box in your email. It's likely your mail client or mail server isn't detecting our email address as a valid sender, even though it is. You will need to create a new contact for admin@propertyinspectionboss.com which is the email account we send the inspections emails from. If you are using the Google Mail client, more details can be found here : http://support.google.com/mail/bin/answer.py?answer=8933 or let us know if you are using a alternative mail client and we can help.
Once the email address sender is marked as valid, it should safely be sent to your Inbox folder, rather than being caught in your SPAM or JUNK folder.

And finally, in some cases there is occasionally delays in all types of email, for whatever reason. So give it a few minutes more just incase there are issues with your local network/ISP.

Will Property Inspection BOSS hold all our properties?

If you have an 32GB iPad then you should be able to accommodate about 8000 Inspections (containing roughly 4 photos per Inspection area based on 14 Inspection Areas using standard photo quality). That is a rough estimate and it will depend on other apps, number of photos you take and how much storage space they use, but we don't foresee you having an issue with space and having to delete inspections.

How do I send Diagnostic Information from Property Inspection BOSS to Support?

In certain cases where we need to troubleshoot issues with the running of Property Inspection BOSS we may ask for Diagnostic information.If you navigate to Settings -> About the App and "Send Diagnostics" and then hit Send this will send us some diagnostic information to help us troubleshoot the issue.

If you have enabled sending diagnostic information to 'Apple' in iTunes this will also help us identify the issue at hand. If you need further help in enabling this, please visit this support page.

Please note that in both cases no personal information is included in transmission, so your data is safe!

How do I turn on Voice Dictation on my iPad3?

With iPads (3rd generation only) there is a simple and new way of entering your Inspection Notes!! (Note: Requires a valid internet connection)

Step 1: On your iPad go to Settings, choose General section, scroll to the bottom of the page and tap on Keyboard

Step 2: At the bottom, switch option Dictation from OFF to ON

Step 3: Next time, if you are connected either via WIFI or 3G, whenever a keyboard shows up on your new iPad you will have the option to dictate what you are typing. Simply tap on the microphone key and say what you want to type, i.e. Floors are very clean and no marks.

Step 4: Once you are finished tap on the same microphone icon again and your words will be converted into text on your iPad screen

Step 5: If your iPad is not 100% sure about certain words you said it will underline those words with a blue dotted line. When you tap on that word a small balloon window will show up with alternative suggestions.

It's that easy!

How do I setup on Mail on my iPad so I can check my office emails and send to support ?

Incase you dont have Mail setup on your iPad specifically, Apple have posted some instructions which may help :

Having a Mail account correctly configured on your device also allows the user to send reports directly from the app, and also help us troubleshoot issues via the Send Diagnostics feature.

How do I transfer Inspections and settings from one iPad to another ?

We don't have a Property Inspection BOSS specific backup/sync mechanism in place just yet, however if you are setting up new iPads, and wish for them to be all the same (in terms of Inspections and Settings etc) you can actually backup your existing iPad and then choose to restore from that existing iPad for new iPads. The app is reporting a "Server Error" and unable to access the network. Help what do I do ?

We have investigated the issue and as of 17th April 2015, it looks like there is a networking issue with Google causing this issue. Please follow the below steps to resolve the issue :

Go to Settings > Wi-Fi and next to your Wifi Network Name there should be a small blue i inside a circle, on the Right Hand side. Tap the small blue i.

Then for DNS, enter in the value of 4.2.2.2

Then tap the ← WIFI at the top of the screen which should Save the changes.

Try using app again and it should work correctly from now on.

My iPad is running out of storage or space. How can we fix it ?

We have recently had reports of iPad's running out of space that is unrelated to Property Inspection BOSS.   In actual fact the iPad is not out of space it's a bug with recent iOS updates.  Recent iOS updates seem to be caching a lot of material Apple normally removes after the update and thinks its out of space when it's not.  


Step 1: Verify that this is problem

  • On the iPad, go to Settings > General > Storage & iCloud Usage > Manage Storage
  • Look at the "Used" vs "Available" space at the top of the list, also check what App is using the most space.
  • If the total size for all your Apps (including Photos & Camera) is far less than the Used Space (in GB or gigabytes), then it indicates there is unaccounted for space on your iPad which needs to be addressed (and is unrelated to the Property Inspection BOSS app) so proceed to Step 2.If Property Inspection BOSS is using most of the capacity of the iPad then we would advise optimising your photos in Property Inspection BOSS before proceeding to reclaim some space.




    Step 2: Backup your iPad

    • As recommended by Apple to reclaim the missing space on the iPad it will need to reset, which involves removing all apps and data (including your Property Inspection BOSS data). So that your iPad data is safe (which includes Property Inspection BOSS and your Inspections) it will need to be manually backed up and then later restored. To perform a manual backup of the iPad via iTunes please follow these instructions -  iTunes Backup.


    Step 3: Reset your iPad 

    • Please make sure you have backed up your iPad manually via Step 2 as this step wipes the iPad of everything!  You can verify the backup has finished successfully in iTunes Preferences > Devices. You should see the name of your device with the date and time that iTunes created the backup.
    • To reset your iPad go to: Settings > General > Reset (you may have to scroll down) > Erase All Content and Settings and follow the prompts.



    Step 4: Restore the iPad
    • Then restore the iPad using iTunes Restore and follow the prompts. 


    After completion, your iPad will return to its proper state and hopefully reclaim your missing space allowing you to use Property Inspection BOSS and other apps on your iPad again.
